Email Management
What Email Management Covers in a Hosting Control Panel
cPanel email accounts are mailboxes that the hosting control panel creates and manages for you, such as [email protected]. Email management is the group of panel tools that sets them up and configures them without requiring you to edit the mail server software directly.
The panel does not deliver the mail itself. It writes settings to the mail server, which stores messages and handles sending and receiving. The panel works like a front desk: it takes your request and updates the settings the mail server reads.
Most panels offer a similar set of functions:
- Mailboxes: an address and password for a person or role, with its own storage.
- Quotas: a storage limit per mailbox, so one account cannot fill the server's disk.
- Forwarders: rules that send copies or all incoming mail to another address.
- Autoresponders: automatic replies, often used for out-of-office messages.
- Webmail access: a browser-based inbox for reading mail without a desktop app.
- Mail routing: the setting that decides whether mail for a domain is handled on this server or passed to another one.
How Panel Email Settings Reach the Mail Server
When you create a mailbox, the panel records the new account with the mail server and creates a folder where its messages will be stored. Quotas and passwords are enforced by the mail server, so the panel is simply the convenient way to set them.
Routing is where most confusion starts. Mail for a domain reaches your server only if the domain's mail exchanger (MX) records point to it. MX records are DNS entries that name the server that should receive email for a domain. If they point elsewhere, mailboxes created on this server will receive nothing, however carefully they are configured.
Whether the panel can edit those records depends on where the domain's DNS is hosted. This is explained in what the DNS zone editor does. The wider panel model is covered in what a hosting control panel is.
Frequently asked questions
Do I need a control panel to manage hosting email?
No. Mail servers can be configured with their own tools or from a command line. A panel gives the same settings through forms, so routine tasks such as adding a mailbox or changing a password are quicker and less error-prone. The trade-off is that you work within the options the panel exposes.
Why does a new email account receive no mail?
The most common cause is that the domain's MX records point to a different mail server, so incoming mail is delivered there and never reaches this server. Check where the domain's mail is routed before changing mailbox settings. A wrong password or a full quota causes different symptoms, such as rejected or unreadable mail, so routing is the first thing to check.
