Billing and Automation Platforms

Maarten Soetens 2 min read

What Is WHMCS and What Does It Do?

What is WHMCS? In short, it is a commercial billing and automation platform that hosting companies use to sell plans, collect payments, manage customers, and create accounts in their control panels automatically. Blesta is a similar product, and other systems fill the same role.

The platform sits between the customer and the server. It handles the business side of hosting, such as orders, invoices, and support tickets. The control panel handles the technical side, such as domains, files, and databases. This is different from a VPS management panel, which manages virtual machines rather than customers.

How Billing and Automation Work Together

A typical hosting order passes through several stages. The customer chooses a plan. The platform issues an invoice and collects payment through a payment gateway, which is a service that processes card and other payments. Once the invoice is paid, the platform calls the control panel to create the account with the matching package.

The link between the two is usually a module, which is a small add-on written for a specific panel such as cPanel or Plesk. If payment later lapses, the platform can suspend the account and, eventually, terminate it. Automating these steps is the main reason hosts use these systems.

Why Hosts Use Automation and Where It Falls Short

Automation removes manual work and reduces errors. Without it, a host would create each account by hand, track renewals in a spreadsheet, and chase unpaid invoices. A billing platform lets a host take many orders without adding staff for each one.

Automation has limits. A module that breaks after a panel update can stop new accounts from being created, so hosts test changes before they go live. Many billing platforms are also licensed products, which adds to the cost of running a hosting business. How panel licensing works describes a similar cost model for control panels.

Frequently asked questions

Do I Need WHMCS to Host a Website?

No. Most people host websites with a control panel and never use a billing platform. These systems matter when you sell hosting to others and need automated orders, invoices, and account creation. A personal site or a small business site usually does not need one.

Is WHMCS a Control Panel?

No. WHMCS does not manage a server or the websites on it. It works alongside a control panel such as cPanel or Plesk, and manages customers, orders, invoices, and support. For how panels organise customer accounts, see admin, reseller and user levels.
